Privacy Policy

Plain-language summary of how PitchProgress handles your data.

The short version

PitchProgress helps coaches share structured, encouraging feedback about young players with their own families, and helps families support that development at home.

  • We collect only what the product needs to work — no advertising trackers, no data sales, ever.
  • A child's profile and records are controlled by their parent or guardian.
  • Coaches see only the squads they manage. Parents see only their own children.
  • You can export or delete your child's data at any time.

Who we are

PitchProgress is operated by the PitchProgress team (“we”, “us”). Questions about this policy or your data can go to any member of our team via the contact details provided when your organisation onboarded, or through the in-app support link.

What we collect

Account data — name and email address, provided by the sign-in provider (Clerk) when you create an account.

Coach-provided data — team names, squad lists (player name, squad number, position, dominant foot, birth year for age grouping), and observational ratings on the platform’s behavioural scales, plus optional voice or text notes a coach records.

Parent-provided data — your child’s name and date of birth when you add them, and session activity (which drills were completed).

Generated content — AI-drafted development-plan wording. Drafts are produced from observation scores only, and never reach a family without a coach reviewing and approving them.

Technical data — standard hosting logs (IP address, device type) held by our infrastructure providers for security and reliability.

We do not collect payment details (billing is not enabled), we do not use behavioural advertising or tracking pixels, and we do not sell or share personal data with advertisers or data brokers.

Children's data

PitchProgress is designed for youth sport, so protecting children’s information is the core of this policy, not an afterthought:

  • Every child profile is linked to a parent or guardian account. Guardians control their child’s data.
  • Children do not have accounts. Nothing in the product invites a child to enter personal information.
  • We do not allow adult–child messaging anywhere in the product. Coaches cannot message children directly.
  • Observations are about behaviour and skills — never sensitive personal data, health data, or images of children.

Who can see what

  • Parents/guardians see their own child’s feedback, development plan, and progress history.
  • Coaches see the squads they manage, and only via the organisation the child is registered with.
  • Club administrators see aggregate squad information for the teams they manage.
  • Nobody outside a child’s family and their direct coaching team sees a child’s scores.

We deliberately do not show children how they compare to teammates. There are no leaderboards or peer rankings, and our data model makes surfacing them technically impossible — not just hidden.

AI features and your data

  • AI drafts (development plans, feedback summaries) are generated from de-identified observation scores and behavioural anchors — not free-text about children.
  • Every AI draft requires explicit coach approval before it is saved or shown to a family. Nothing AI-generated reaches a parent unreviewed.
  • We send the minimum data needed to the model provider (OpenAI) and do not allow training on data sent through their API.

Where data lives and how long we keep it

Application data is stored in a managed cloud PostgreSQL database (Neon, hosted in supported regions) and files are served from Vercel’s CDN. We keep a child’s records while their family account is active.

Once a coach publishes an observation, it becomes a permanent part of the player’s record — corrections are made by adding a new, visible version, not by silently editing history. This protects children: what a coach said about a player can’t be quietly rewritten.

Your rights and choices

  • Export — a parent can download their child’s data in a portable format from the parent area at any time.
  • Correction — parents can request corrections; published observations are amended by visible new versions.
  • Deletion — a parent can remove their child from a squad and request account deletion, which removes child profiles and personal data from active systems.
  • Access — everything we hold about your child is visible to you in the app; nothing is hidden behind a paywall.

Emails we send

We send transactional email (squad invitations, account updates) through an email provider (Resend). We do not send marketing email to parents or any email to children.

Security

Access to the app requires authentication. Authentication and account management are handled by Clerk. Data in transit is encrypted (TLS), and database access is restricted to the application.

Changes to this policy

If we make material changes we will notify account holders through the app before they take effect.
